Totalling your Etsy income for the UK tax year
Etsy gives you one statement per calendar month. HMRC wants your figures for the tax year, 6 April to 5 April. Here's how to get from one to the other.
1. Download 13 monthly CSVs, not 12
The tax year 2025-26 runs from 6 April 2025 to 5 April 2026, so you need every monthly statement from April 2025 to April 2026. In the April 2025 file keep only rows dated 6 April or later; in the April 2026 file keep only rows dated up to 5 April.
2. Add up the right rows
- Income: Sale rows (item price plus the postage you charged), minus Refund rows.
- Leave out: Tax rows (buyer tax Etsy collects and pays on) and Deposit rows (transfers to your bank, not income).
- Etsy costs: Fee, VAT (VAT on fees, if you have no VAT ID), Marketing and Shipping rows.
- Your own costs aren't in the CSV: materials, packaging, postage you paid at the post office. Add them from receipts.
3. Check the £1,000 trading allowance
If your total trading income before costs (sales from all your side businesses together) is £1,000 or less in the tax year, you usually don't need to tell HMRC about it. Above that, you can either deduct your real costs or take £1,000 off instead, whichever is better for you, but not both.
4. Know the dates
- Register for Self Assessment by 5 October after the tax year ends, if you haven't before.
- File online and pay by 31 January the following year.
- Etsy reports sellers' income to HMRC under the digital platform reporting rules (unless you made fewer than 30 sales and under about £1,700 (€2,000) in the year), so HMRC may already see your Etsy totals.
- Making Tax Digital (HMRC's digital filing rules, which since 6 April 2026 cover qualifying income over £50,000) needs proper filing software. This spreadsheet isn't that.
Shortcut
The fee calculator shows the fees on one order. The tracker below reads the monthly CSVs and has a UK tax-year tab that splits April for you.
General information from GOV.UK (trading allowance, Self Assessment deadlines, reporting rules for digital platforms) and Etsy's help pages, checked 28 October 2026. Not tax advice: check your own situation with HMRC or an accountant.
Want this for every order, not just one?
The Profit & VAT Tracker for Etsy sellers reads Etsy's monthly statement CSV (paste it in) and sorts every row into sales, refunds, each fee type, VAT on fees, Etsy Ads, Offsite Ads and postage labels, then shows profit per month and for the tax year. For EU and UK shops, VAT-registered or not. Excel, and built for Google Sheets. If it doesn't read your statement, you get a fix or a refund.
